This notice explains how VOY Search Partners collects, uses and protects personal data. It covers candidates we approach or who approach us, contacts at our client organisations, referees, and visitors to this website.
Who we are
VOY Search Partners is an executive search firm. We identify, assess and introduce senior professionals to organisations across the markets we serve. Handling personal data — often career histories shared in confidence, long before any application exists — is central to that work, and we treat it accordingly.
For the purposes of data protection law we are the controller of the personal data described in this notice.

The data we collect
What we hold depends on your relationship with us.
Candidates and prospective candidates. Name and contact details; CV or professional profile; current and previous roles, employers and dates; qualifications and professional memberships; remuneration information and notice period; location and work authorisation; the notes our consultants make during conversations and interviews; feedback from referees; and, where a client requires it and you have agreed to it, the results of assessments or background checks.
Client contacts. Name, job title, employer, and business contact details; correspondence with us; and the record of assignments and discussions we have had with you.
Referees. Name, job title, employer, contact details, and the reference you provide.
Website visitors. Anything you type into a contact or enquiry form, and limited technical information collected automatically — IP address, browser and device type, pages viewed, and the site that referred you.
We do not seek special category data (such as health, ethnicity or religious belief) as a matter of course. Where a client’s process genuinely requires it — for example a workplace adjustment for an interview — we collect only what is necessary and only with your explicit consent.
How we collect it
Directly from you, when you send us a CV, complete a form on this site, or speak with one of our consultants. From referrals, where a colleague or contact suggests we should speak to you. From publicly available professional sources, such as company websites, professional networking platforms, published announcements and industry directories. And from our clients, when they introduce a candidate into a process we are running.
If we approach you having found your details in a public professional source, we will say so, and this notice is made available to you at that point.
Why we use it, and our lawful basis
We use personal data to run search assignments: to build and maintain a picture of the market, to identify and approach suitable candidates, to assess and present shortlists, to take up references, and to manage the process through to appointment. We also use it to maintain the relationship with our clients, to respond to enquiries, to keep proper business records, and to meet our legal and regulatory obligations.
For candidates, referees and client contacts, our lawful basis is normally legitimate interests — the mutual interest of professionals, employers and this firm in matching senior talent to senior roles. We have considered the impact of this on the individuals concerned and limit what we hold to what the work genuinely requires.
Where we rely on consent — for market updates and other marketing, for special category data, and for sharing your details with a specific client — you can withdraw that consent at any time, and doing so will not affect anything done before you withdrew it.
Where we are required to keep or disclose data by law, our basis is legal obligation. Where data is processed to take steps at your request before entering a contract, it is contractual necessity.
Who we share it with
Candidate information is shared with the client running the relevant search, and only after we have discussed that specific opportunity with you. We do not circulate CVs speculatively.
We also use a small number of service providers who process data on our behalf and under contract: website and email hosting, our candidate and assignment database, document storage, and our professional advisers. They act on our instructions and are not permitted to use the data for their own purposes.
We will disclose data where the law requires it, or to establish or defend legal claims. We do not sell personal data.
International transfers
Executive search is cross-border work: a candidate, the hiring client and the appointment itself may each sit in a different country, and our service providers may store data outside the country where it was collected. Where personal data is transferred internationally, we take steps to ensure it remains protected to an equivalent standard — including, where required, standard contractual clauses or another recognised safeguard with the receiving party.

How long we keep it
Candidate records are retained for as long as it is reasonable to expect a continuing professional relationship, and reviewed periodically; where there has been no meaningful contact for an extended period, the record is deleted or anonymised. Records relating to a completed assignment are kept for the period needed to answer questions about that assignment and to meet our contractual and legal obligations. Enquiries received through this website that do not lead to a relationship are deleted once they have been dealt with.
If you ask us to remove your details, we will do so unless we are required to keep them — in which case we will tell you why, and for how long.
Keeping it secure
Access to candidate and client data is limited to the people who need it to do the work. Our systems are protected by access controls and encryption in transit, our devices are secured, and our staff are briefed on handling confidential career information. No system is perfect, but we take the confidentiality of an unannounced career conversation seriously, and we will notify you and the relevant authority if a breach ever requires it.
Your rights
Subject to the law that applies to you, you may ask us to:
- confirm whether we hold data about you, and give you a copy of it;
- correct anything that is inaccurate or incomplete;
- delete data we no longer have a good reason to hold;
- restrict how we use it, or object to our use of it — including any use for marketing, which we will stop on request without exception;
- provide it to you, or to another organisation, in a portable format; and
- withdraw any consent you have given.
Write to info@voysearchpartners.com and we will respond within the period the law allows. There is no charge. If you are not satisfied with our response, you are entitled to complain to the data protection authority in your country.
Cookies
This site uses cookies that are necessary for it to work — for example remembering your session and the details you have entered into a form — and, where enabled, analytics cookies that tell us which pages are read and how visitors arrive. Analytics data is used in aggregate to improve the site; it is not used to identify you.
You can block or delete cookies in your browser settings. Blocking the necessary ones may stop parts of the site from working properly.
